The San Mateo County Private Defender program is currently looking to fill the Receptionist position. That position entails the following qualifications and responsibilities:
Qualifications:
- College preferred but not required.
- Ability to type at least 45 wpm
- Must be bilingual – able to speak and understand Spanish fluently.
- Strong customer service skills and organizational skills.
- Some familiarity with legal terminology.
- Ability to work well under stress and with a diverse community.
- Proficient in Microsoft Office programs.
- Ability to pay attention to detail and handle multiple projects.
- Answers phone promptly and courteously.
- Happy and energetic Individual with excellent communication skills.
- High quality of work in a fast paced environment.
- Warm, friendly and professional personality.
- Quick learner and resourceful.
- Ability to work independently.
- Knowledge of general office equipment (copy machine, fax, postage machine, etc.)
- Ability to lift 20 pounds.
Responsibilities:
- Responsible for all incoming calls using multiple lines.
- Greet walk-ins for the Private Defender Program.
- Respond professionally and efficiently to inquiries from the general public as well as clients/guests who have been directed to Reception.
- Maintain a clean and friendly waiting area.
- Sort incoming mail as well as process outgoing mail.
- Data Entry.
- Process (distribute & notify via email) discovery received from DA’s Office daily.
- Follow up on requests from various email inboxes.
- Take inventory on daily basis of supplies needed.
- Make sure all printers and fax machines have sufficient paper each morning.
- General administration tasks such as filing or faxing.
- Book conference rooms as needed.
- Provide support to office manager and other staff for smooth day-to-day operation of the office.
- Must be able to sit, stand, lift, carry and bend.
- Maintains safe and clean reception area by complying with procedures, rules and regulations.
- All other duties as assigned.
